BOOTH ASSIGNMENTS

Booth assignments will be given during exhibitor check-in.

BOOTH SPACE

Booths are 6ft X 2ft with approximately 3 feet behind the table. Please plan your exhibit to accommodate these dimensions.

Exhibitors may bring their own flat tablecloths if they do not want to use the Marriott’s fitted tablecloths. Exhibitors must bring their own pipe and draping.

CHECK-IN/SET-UP

Set-up times: Wednesday, May 2, 2018 from 3PM-7PM or Thursday, May 3, 2018 beginning at 7AM.
(Please note: Conference doors open at 8AM.)

ELECTRICAL SERVICE

Basic electricity is included in your booth registration fee. Please bring a power strip if the exhibit requires more than one outlet.

GENERAL

Conflict-free exhibit time starts at 8AM on the day of the conference. Other conflict-free times are scheduled during the course of the day.

Temperature in the exhibit area can vary widely during the day. Exhibitors may want to consider dressing in layers.

LUNCHES

The venue will be providing chicken and vegetarian box lunches for exhibitors. One lunch is included in the basic exhibit registration; additional lunches may be purchased for $15 per lunch. You may purchase additional lunches as part of the registration process, or when you check-in at the conference.

PAYMENTS

The New York Library Association (NYLA) is handling the payments for the Long Island Library Conference. You can contact NYLA at nyla.org or 518-432-6952.

Bill Later (The confirmation emailed upon registration serves as your bill.)
Company Purchase Order (You will a purchase order number to register.)

All payments must be received by April 15, 2018. Exhibitors who have not paid by April 15 will be removed from the conference.

RAFFLES

Exhibitors are encouraged to have their own raffles.

Raffle winners should be announced via posting by 2:30PM.

Exhibitors are responsible for awarding raffle prizes to their winners.  The Conference Committee cannot be responsible for getting your prizes to your winner.  Please plan accordingly.

SECURITY

Two security guards will be on duty Wednesday evening into Thursday morning. However, exhibitors should use their discretion about leaving valuable merchandise and equipment at their booth overnight.

SHIPMENTS TO THE VENUE

Boxes may be shipped to the Melville Marriott to arrive up to three days before the conference.

Please label boxes with your company name and “Long Island Library Conference.”

One Wi-Fi access code is included in the booth registration.  Additional codes may be purchased for $10 each.  Please email LILCExhibits@gmail.com  should you need to add additional Wi-Fi codes to your registration.
